Privacy policy

One agreement for every client of The Voice Realm, wherever you are. The entity you deal with is named on your invoice.

The short version

  • We collect what we need to run a voice over marketplace: your name and email, your account details, the jobs, scripts, files and messages that pass through the site, and payment details when you buy or get paid.
  • We use it to run your account and your bookings, to match voices to jobs, to keep the site safe, and to tell you about our services. You can unsubscribe from marketing at any time.
  • We never sell your personal information. We share it with the people you're working with on a job, and with the providers who help us run the site: payment, email, hosting, analytics, live chat and some AI processing.
  • Talent see a client's first name and the job, not their company or contact details. Clients see a talent's public profile, not their contact details.
  • Our servers are in the United States. You can ask to see, correct or delete your information at any time.

1. Who we are

The Voice Realm LLC ("The Voice Realm", "we", "us" or "our") runs thevoicerealm.com and its sister sites (including thevoicerealm.co.uk, thevoicerealm.com.au and thevoicerealm.es), which all run on the same system and share one set of accounts (together, the "Website"). This policy explains what personal information we collect, why, and what you can do about it. Our Terms and Conditions incorporate this policy.

2. What we collect

You can browse the Website, search for voices and play demos without telling us who you are. We collect information when you do the things below.

Asking for a quote

Your first name, last name and email address, the quote you built, and whether you ticked the box agreeing to hear from us, along with the time you ticked it.

Creating a client account

Your name, email address, password (stored hashed, so we can't read it), company, address and phone number where you give them, and your time zone and preferred currency.

Posting a job, auditioning or booking

The script, brief, reference files and any other material you upload, the messages you exchange through the site, the recordings that are delivered, and the details of the booking: what was ordered, the rate, deadlines and status. We also keep the notifications we send you about it.

Creating a talent account

Your name, email address, password (hashed), address and phone number, the photo, demos, bio, languages, accents and other details you put on your profile, your PayPal email for payouts, tax forms such as a W-9 when we ask for them, and your account plan and payment history. Your public profile is visible to anyone who visits the Website, but never your contact details.

Paying and getting paid

When you pay by card, your card details are passed to our payment processor. See section 8 for exactly how that works. When you pay by PayPal, PayPal tells us the transaction succeeded and the account it came from. Talent payouts go to the PayPal email on the talent's account.

Talking to us

If you use live chat, email us, fill in the contact form or report a bug, we keep what you sent and our reply so we can help you and refer back to it.

Automatically

Like most websites we record the IP address, browser type, pages visited and time of visits, and we log actions such as searches, demo plays and logins. We use your IP address to work out roughly where you are (for example to show a local phone number), to protect the site against abuse, and to understand how the site is used. See section 6 for cookies.

3. How we use it

  • To run your account, your bookings, your auditions and your castings, and to send you the emails they generate.
  • To send you a quote you asked for.
  • To take payments and make payouts, and to keep the financial records the law requires.
  • To help clients find the right voice, including by analysing demos and search requests (see section 4).
  • To answer your questions and give you support.
  • To keep the Website secure, to prevent fraud, spam and abuse, and to enforce our Terms and Conditions, including watching for attempts to take work off the site.
  • To understand how the Website is used so we can improve it.
  • To tell you about our services and offers, where you've agreed or where the law lets us (see section 7).
  • To comply with the law and respond to lawful requests.

If you're in the UK or EU, our legal bases for this are: performing our contract with you; our legitimate interests in running, securing and improving the Website; your consent, for marketing where consent is required; and our legal obligations.

4. Automated and AI tools

Some features of the Website use automated and artificial intelligence tools provided by third parties. For example, when a client describes the voice they want, the description and the demos on the site are analysed so we can suggest matching voices; talent can ask for help improving their bio; and demos may be transcribed to check what they contain. What you type or upload for those features is sent to the provider to be processed and is not used by us to train, clone or generate a voice. A person can always review anything these tools produce, and no decision with a legal or similarly significant effect on you is made by an automated tool alone.

5. Who we share it with

We never sell your personal information. We share it only as follows.

The people you work with on the Website

When a client and a talent work together, each sees what they need to do the job. A talent sees the client's first name, the script, the brief, the files and the messages on that job, but not the client's surname, company or contact details. A client sees a talent's public profile, their auditions and the messages on the job, but not the talent's contact details. Both sides agree in the Terms and Conditions not to share contact details through the site.

Providers who help us run the Website

  • Payment processors, to take card and PayPal payments and to make payouts.
  • Email delivery services, to send the emails the Website generates.
  • Hosting, backup and security providers.
  • Google, for analytics, advertising measurement and tag management (see section 6).
  • Our live chat provider, which hosts chat conversations.
  • AI processing providers, for the features in section 4.
  • Our accountants, lawyers and other professional advisers where needed.

These providers only get the information they need for their job and can't use it for their own purposes.

When the law requires it

We'll share information where we're required to by law, a court order or a regulator, or where it's needed to protect the rights, property or safety of The Voice Realm, our users or the public.

If the business changes hands

If The Voice Realm is sold or merged, your information may pass to the new owner, who will have to honour this policy.

6. Cookies and tracking

We use cookies and similar technologies for three things:

  • Making the site work. A session cookie keeps you logged in and remembers things like your currency and search choices. The site doesn't work properly without it.
  • Understanding how the site is used. We use Google Analytics and Google Tag Manager to see which pages are visited and which features are used. Google sets its own cookies for this and processes the data under its own privacy policy.
  • Advertising. We use Google Ads to measure whether our advertising works and, at times, to show our ads to people who have visited the Website. You can opt out of personalised ads through Google's ad settings at adssettings.google.com.

Our live chat widget also sets a cookie so a conversation can continue across pages. You can block or delete cookies in your browser settings; if you block the session cookie you won't be able to log in.

7. Marketing email

If you ask us for a quote and tick the box agreeing to hear from us, we may email you from time to time about our voice over services and other services we offer. When you create an account there is a tick box for occasional news, offers and updates from The Voice Realm. We only send them if you tick it, and you can change your mind at any time in your account settings. Accounts created before September 10, 2026 were added to our list when they registered and can opt out the same way. Every marketing email has an unsubscribe link, and you can also unsubscribe by emailing info@thevoicerealm.com.

Emails about your own account, bookings, auditions and castings are part of the service, not marketing, and continue while you have an account.

We never give the email addresses on our lists to anyone else.

8. Card details

When you pay by card, the card details you enter are passed to our payment processor, which charges the card and returns a confirmation to us. If you tick the box to save your card for future bookings, or you hold a monthly account that is billed to a card, we store the card details you saved in encrypted form so we can bill later bookings and invoices without asking again. You can update the saved card in your account settings, and you can ask us to delete it at any time. If you don't tick the box, we don't keep the card.

PayPal payments are handled entirely by PayPal. We see the outcome and the account it came from, not your PayPal login or funding details.

9. Where your information is stored

Our servers are in the United States, and our providers may process information in the United States and elsewhere. If you're outside the United States, including in the UK, EU or Australia, your information is transferred there when you use the Website. Where the law requires it, we rely on the contractual protections in place with our providers, along with the safeguards described in this policy, to protect it.

10. How long we keep it

  • Accounts: for as long as your account is open. When you close it, or ask us to, we take your profile off the Website and deactivate the account.
  • Jobs, messages, files and recordings: for as long as they're needed as a record of the work, so that disputes, re-records and usage questions can be answered.
  • Financial records: invoices, payments and payouts are kept for as long as tax and accounting law requires, typically up to seven years.
  • Quote requests and marketing lists: until you unsubscribe or ask us to remove you.
  • Logs: access and security logs are kept for a limited period and then deleted or anonymised.

If you ask us to delete your information, we'll delete what we can. We may need to keep some records where the law requires it, for example financial records, or where we need them for a live dispute.

11. Security

Everything you send to the Website travels over an encrypted connection. Passwords are stored hashed, saved card details are stored encrypted, and account information is only accessible to staff who need it. We monitor the Website for unauthorised changes and attacks, keep backups off site, and act on every security report we receive. No system is completely secure, so we can't guarantee that information will never be lost or accessed without authorisation, but if a breach affects your personal information we'll tell you and the relevant authorities as the law requires.

12. Your rights

Wherever you are, you can ask us to show you the personal information we hold about you, correct it, or delete it. Most of your account details can be updated from your account settings. For anything else, email info@thevoicerealm.com with "Privacy" in the subject line. We'll need to confirm it's you before we act.

If you're in the UK or EU, you also have the right to restrict or object to how we use your information, to receive a copy of it in a portable form, to withdraw consent where we rely on it, and to complain to your data protection authority. If you're in California, you have the right to know what we collect and why, to have it deleted, and not to be discriminated against for exercising those rights. We don't sell or share personal information for cross-context advertising as those terms are defined in California law.

13. Children

You must be 18 or over to hold an account. A talent under 18 can only be listed by a parent, legal guardian or agency, who provides the information and accepts our terms on their behalf. We don't knowingly collect personal information from anyone under 13, and if we learn we have, we'll delete it. Parents or guardians who think a child has given us information can contact us at info@thevoicerealm.com.

14. Changes to this policy

We may update this policy from time to time. The date at the top tells you when it last changed, and the current version is always at this address. If a change would give your information less protection than before, we'll make reasonable efforts to let you know first. Continuing to use the Website after a change means you accept the updated policy.
